AC Invoice is a very flexible invoice management solution through which invoices are scanned, recognized and processed in order to enable automatic data transfer to any kind of ERP system or financial administration pack.

Mexx International is a global lifestyle brand. They offer a range of fashion apparel and accessories for women, men and children, as well as non-apparel items. Mexx products are available internationally via multiple business channels: wholesale, retail and home shopping. You'll find them at over 9,500 selling points in more than 45 countries on 4 continents.

Mexx International must process around 120,000 purchase invoices per year in Europe alone. Since January 2003, a smart workflow application has ensured that all documents are managed centrally. Allgeier Computer was responsible for the implementation of this application

A digital image of the invoice is sent to the Dutch administration in Voorschoten, which handles all the financial administration of Mexx’s European operating companies. The invoice is checked first: is the supplier’s address right, and the VAT number? Using a number of criteria (type of product, amount, etc.)

At that time, the invoice enters the workflow. Using a web technique, the budget holder receives a mail in his/her mailbox, containing a summary of the invoices that need to be authorized. “That means a considerable saving of time for people who are often on the road,” explains Hollaers. “Now they can log in all over the world and approve the invoices digitally”.

The new invoice management system offers Mexx two major advantages: fast and efficient central accounting and an established procedure for approval of invoices. This centralization and increased professionalism of creditor administration is a first step towards the further integration of the entire back office at Mexx International. Further developments are planned, such as the automatic generation of payments, sending of reminders or provision of management information to budget-holders. The term “smart workflow application” certainly applies here.

The AC invoice management solution is being used for archiving all digitalized purchase invoices, with the capture software of Kofax securing the transition to the workflow application W4. Hardware is made available by Ricoh and Plasmon. Of course, Allgeier Computer also ensures the implementation by its own project team.
